Pig Trail Chapter(“the Chapter”) is committed to protecting the privacy of its members. This Privacy Policy describes how the Chapter collects, uses, and safeguards the personal information of members and visitors to this website.

Member Information

Chapter membership and mailing lists are confidential and held in trust by the Chapter on behalf of its members. Member data will never be sold, shared, or transferred to any third party without the express consent of the chapter and, where required, explicit member consent.

Information We Collect

The Chapter may collect the following information from members:

• Name, email address, mailing address, and phone number
• National or parent-organisation membership number (if applicable)
• Motorcycle information (make, model, year)
• Emergency contact information
• Event attendance and ride participation records
• Signed release forms (retained for a minimum of 7 years)

Visitors to this website who are not logged in may have their IP address and navigation activity recorded in standard server logs. No personally identifiable information is collected from anonymous visitors.

How We Use Member Information

Member information is used exclusively for chapter management purposes, including:

• Administering chapter membership and communicating chapter news
• Organising and communicating about chapter events and rides
• Verifying active membership status
• Maintaining compliance and safety records
• Sharing with Pig Trail Harley-Davidson® for chapter management purposes

Commercial Marketing: Member information will not be used for commercial marketing — including by our sponsoring dealer — without explicit, separate opt-in consent from each member.

Member Privacy Protections

• No public member directory. Member names, addresses, phone numbers, and email addresses are never displayed publicly on this website.
• Member-only content is password-protected. Forums, newsletters, meeting minutes, the document library, and member profiles are accessible only to authenticated chapter members.
• Group email uses BCC.When the Chapter sends group emails, recipients are placed in the BCC field so no member can see another member’s email address.
• Photo consent required. Photos of members taken at chapter events require consent before being shared in any chapter context. The Chapter discourages publishing photographs of minor children.
• Opt-in communications. SMS notifications, direct messaging, and any subscription-based features require explicit member opt-in. You may opt out at any time by updating your profile or contacting a chapter officer.

Records Retention

Signed release forms (Chapter Membership Enrollment, Event Release for Adults, Event Release for Minors, and Minor’s Assumption of Risk) are retained for a minimum of seven (7) years from the date of signature. These records are available for review by chapter officers and the sponsoring dealer at any time.
